1. You can email me at heather@raleighinstitute.com to schedule a FREE consultation/meet-and-greet with Heather Decatur. This consult is can be by phone or virtual by Zoom. Please specify your preference in your email.
In this consultation you will need to provide:
Contact Information
Student Information (e.g. name, grade/age)
Improvement Areas (e.g. specific subjects, organization, HW help)
Schedule (# of sessions per week, days & times available for tutoring)
2. At the end of your free consultation, we hope you will decide to move forward and schedule your first sessions. We encourage your tutor and student to have a few minutes to say hello prior to their first session. Therefore, we can either stay on Zoom for a bit longer while you ask your student to join us for a short meet-and-greet or, we can schedule a brief (10-15 min.) meet-and-greet through Zoom for a later date prior to your first session.
3. After your consultation, you may secure recurring hours for the upcoming month and/or semester through our registration process.
Sessions are scheduled in one hour blocks.
Recommended schedule is one hour weekly, more can be scheduled depending on student needs and workload.
Sessions must be scheduled by the month and paid in advance.
Please consider only the hours for which the student is able to commit for that month to avoid the difficulty of rescheduling. (See below for policy details regarding refunds and rescheduling)

4. Once you have locked in your hours, you will be invited to create an account in our online student portal. Within the portal, you will have access to:
Lesson calendar, notes, and virtual access links
Invoices and payments
Online resources, study log, and more

Tutor’s office location (coming soon)

For students grades K-3, in-person sessions are highly recommended. However, if that is not possible, we will discuss ways to maximize effectiveness of virtual sessions.
Flat rate
PAYMENT
Payment can be made via ApplePay, or Zelle, Venmo, or Cashapp.
The number of hours (including their respective dates and times) for the month will be agreed upon before the start of each month and paid for in advance.
Payment must be paid before the start of each month's first scheduled session.
Non-payment by the due date stated on the invoice will result in that time slot being offered to another student.
At the end of each month, an invoice for the following month will be emailed to you. It will be based on the current agreed upon schedule, so if there is going to be a change, please communicate that at least 1-2 weeks prior to ensure availability.
Refunds are ONLY offered on the rare occasion the tutor has to cancel. Prior to a refund being issued, our goal will be to schedule a make-up session. However, due to our client list having grown so quickly, we often have limited availability so, make-up sessions can be hard to accomplish. For these reasons, our tutors make sticking to the schedule a top priority. We ask that you do the same by reviewing your calendars before scheduling each month’s sessions.
If you wish to no longer continue recurring monthly sessions, please notify us a minimum of 1 week in advance to allow us to free up those time slots for other clients.
CANCELLATION POLICY
Contact the tutor by phone or text immediately if your student is unable to attend a lesson.
Lessons canceled within 24 hours will not be refunded. Our policy is not to offer a make-up session under these circumstances; however, we do recognize that true emergencies sometimes occur. Therefore, a one-time make-up session may be available and will be determined on a case-by-case basis.
For lessons canceled more than 24 hours in advance, the client is responsible for contacting the tutor to attempt to reschedule. The make-up session must take place within the month the canceled session was originally scheduled.
*Please cancel with caution. As previously stated, availability fills up fast. If the tutor has no availability, a refund will not be issued.
As stated above, if the tutor must cancel a session, a make-up session will be made available within the same month of the original session. If that is not possible, a refund for the amount of that session will be issued.
EXPECTATIONS
Lessons will start promptly at the scheduled time and end one hour later.
*The tutor reserves the right to end the session early for elementary age students when deemed appropriate. This is rare and only occurs when it is in the child’s best interest.
Students should be prepared with all necessary study materials.
If the student is late to the scheduled start time, it will not be possible to make up that time, as the tutor often has a session starting immediately after.
Sessions may only be recorded by obtaining prior consent in writing from the tutor.

While we cannot give a “money back guarantee” for individual exam results, we do have a proven track record of increased test scores. We are also proud to say that we have helped 98% of our clients achieve what the school system previously referred to as AYP (Adequate Yearly Progress). The current term is Growth and Achievement, but it is measured in mostly the same way - tests, tests, and more tests.
